These Terms & Conditions ("Terms") govern your use of vfxrental.in and all rental services provided by Laptech (operating as VFX Rental Solutions, "Laptech", "we", "us"). By submitting an enquiry, signing a rental agreement, or using our services, you ("Customer") accept these Terms in full.
1. Quotes and orders
- Quotes are based on the brief you provide and are valid for 14 days unless stated otherwise.
- Pricing is tailored to product, configuration, rental duration, quantity and delivery location. All prices on the website are indicative; the binding price is the one in your signed quote.
- An order is confirmed only when (a) the rental agreement is signed by both parties and (b) the security deposit (where applicable) has been received.
2. Rental terms
- Minimum rental period is one (1) day. Daily, weekly and monthly rates apply.
- The Customer agrees to use the rented hardware only for the purpose stated in the rental agreement, in a controlled studio environment with appropriate power and cooling.
- The hardware remains at all times the property of Laptech. The Customer acquires no ownership rights.
- Sub-letting, re-renting or transferring possession of the hardware to any third party is prohibited without prior written consent.
3. Delivery and return
- Delivery and pickup logistics are coordinated by Laptech. Delivery windows are confirmed at order time.
- The Customer is responsible for providing safe, accessible and appropriate space at delivery — including suitable power, network connectivity and physical security.
- At end-of-term, the Customer agrees to make the hardware available for collection in the same condition as delivered, allowing for normal wear.
- Late return beyond the agreed end date is billed at the standard daily rate. Hardware not returned within 30 days of the end date may be deemed lost (see clause 6).
4. Pre-imaging and configuration
- By default, hardware ships pre-imaged with our standard OS and driver set, benchmarked and validated. The Customer can request a custom image at order time.
- Software licences (Maya, Houdini, Nuke, Resolve, etc.) are not included unless explicitly listed in the rental agreement. The Customer is responsible for licensing software it installs.
5. Support and uptime
- All rentals include 24/7 phone, WhatsApp and ticket-based support.
- Hardware faults caused by manufacturing defect, wear or component failure are covered by Laptech — we provide remote diagnostics and on-site swap within the agreed service window (typically 24–48 hours, faster in Mumbai).
- Customer-induced issues (incorrect software install, OS-level configuration errors) are best-effort and may be billable beyond a reasonable threshold.
6. Damage, loss and protection plan
- Standard wear is covered. Accidental damage in the course of normal studio use is covered under our protection plan, included in the rental rate.
- Catastrophic loss (fire, flood, theft, total destruction) carries a clearly disclosed deductible — typically 10–25% of replacement value — disclosed in the rental agreement.
- Damage due to gross negligence, willful misconduct, unauthorised modification, water immersion, overclocking, or environments outside the manufacturer's specification is the Customer's full responsibility.
- The Customer must report any damage, malfunction or loss to Laptech within 24 hours of the incident.
7. Payment
- Rental charges are billed monthly in advance unless otherwise agreed.
- Standard payment terms are Net-15 from the date of invoice. GST (18%) is charged in addition, in compliance with Indian tax law.
- Late payments accrue interest at 1.5% per month or the maximum rate permitted by law, whichever is lower. Laptech reserves the right to suspend service or recall hardware on overdue accounts.
- A refundable security deposit may be required, returned within 30 days of end-of-term assuming hardware is returned in agreed condition and all dues are settled.
8. Cancellation
- Cancellation more than 7 days before delivery: full refund of any prepayment.
- Cancellation 1–7 days before delivery: 25% cancellation fee.
- Cancellation on or after delivery date: 50% of one month's rental fee, plus any logistics costs incurred.
- Long-term contracts may have separate cancellation terms in the rental agreement.
9. Confidentiality and data
- The Customer is responsible for any data placed on rented hardware. We strongly recommend removing or encrypting all sensitive data before return.
- On return, all storage media is securely wiped before re-deployment using industry-standard methods (NIST 800-88).
- Both parties agree to keep commercial terms (pricing, configurations, contract specifics) confidential.
10. Limitation of liability
Laptech's total liability under any rental, however arising, is capped at the total rental fees paid by the Customer for the affected hardware in the 3 months preceding the event giving rise to liability. We are not liable for indirect, consequential, incidental or punitive damages — including loss of profit, lost projects, missed deadlines or reputational damage — except where such exclusion is prohibited by law.
11. Force majeure
Neither party is liable for delay or failure to perform due to events beyond reasonable control — including acts of god, government action, civil unrest, internet or power outage, pandemics, strikes, or supply-chain disruption.
12. Governing law and disputes
These Terms are governed by the laws of India. Any dispute arising under or in connection with these Terms is subject to the exclusive jurisdiction of the courts at Mumbai, Maharashtra. The parties agree to attempt good-faith resolution before initiating litigation.
13. Changes to these Terms
We may update these Terms from time to time. The "Last updated" date at the top reflects the most recent revision. Existing signed rental agreements remain governed by the Terms in force at the time of signing unless explicitly amended in writing.
